A dependable local arrangement starts with a written care plan. Define what will be checked, how often you receive updates and which decisions still require your approval.

Define the property’s current use

A vacant second home needs a different plan from an occupied long-term rental or an apartment used by family members. Record who has access, how often the property is occupied and which responsibilities belong to a tenant, building manager or local representative.

Set a visit rhythm based on risk

Visit frequency should reflect the property’s condition, season, installed systems and current use. A newly completed vacant apartment, an older property and a tenant-occupied unit do not need the same checklist. Agree the normal schedule and the events that trigger an extra visit, such as a reported leak, prolonged vacancy or work in the building.

Use the same checklist on every scheduled visit

  • Entry door, windows, visible security and signs of forced access.
  • Visible water leaks, moisture, staining or unusual smells.
  • Accessible plumbing fixtures, drains and shut-off points.
  • Heating, cooling and hot-water equipment at an agreed practical level.
  • Electricity status, visible damage and essential appliances.
  • General cleanliness, pests and waste.
  • Balconies, exterior-facing areas and visible weather damage.
  • Mail, building notices and issues reported by neighbours or management.

The checklist should state what was observed. Technical diagnosis belongs to the relevant qualified specialist.

Make photo reports comparable

Take the same core photographs during each visit, then add close images of any change or issue. A useful report includes the visit date, occupancy status, checklist result, action required, responsible person and approval needed. This creates a simple history instead of an unstructured photo archive.

Agree maintenance authority in advance

Set a spending and decision threshold for urgent minor work. Larger repairs should include a description, photographs, proposed solution, cost and timing before approval. Define what counts as an emergency and who should be contacted if the owner cannot respond immediately.

Control keys and property access

Keep a written record of who holds keys or access devices. Agree how technicians, cleaners, contractors and guests enter the property and whether a local representative must attend. Change the record whenever access changes.

Prepare the apartment before your arrival

  • Complete an agreed pre-arrival check.
  • Confirm utilities and essential equipment.
  • Arrange cleaning and fresh linens when requested.
  • Resolve approved minor maintenance before the arrival date.
  • Confirm keys, building access and any scheduled deliveries.

Review the care plan after each material change

Update the plan after renovation, a new tenant, a long vacancy, new equipment or a change in how the apartment is used. A short current checklist is more useful than a detailed plan that no longer matches the property.
